Treat compensation and contracts as restricted records
Commission statements and carrier agreements contain confidential business terms that ordinary users may not need. Limit them to authorized agency administrators and finance roles. AI search and chat tools should enforce the same permissions as the document library so a restricted answer cannot be exposed through a different screen.
Build a contract index
For each relationship, record the carrier entity, agency entity, hierarchy, producer code, covered products and states, effective date, renewal terms, notice window, and document owner. Link the executed agreement, amendments, schedules, and later notices. A summary helps navigation but does not replace qualified review of the controlling language.
Version compensation schedules
Track the product, state, hierarchy, rate, effective period, and source for each schedule. Never overwrite an old schedule if it governed prior business. Connect commission reconciliation to the version that applied on the policy or transaction date. The commission reconciliation guide provides a repeatable exception process.
Calendar contract events
Create reminders for renewal reviews, termination-notice windows, production requirements, E&O certificates, licensing evidence, audits, and other deliverables. Assign an owner and escalation date. A reminder should link directly to the source provision or carrier request that created it.
Investigate exceptions without changing the source
Preserve original statements and agreements. Record missing items, timing differences, rate questions, premium-basis differences, chargebacks, and split discrepancies in a separate work queue. Document the carrier question, response, resolution, and approval so the same issue is not researched every month.
Practical control
Review access quarterly and whenever an employee changes roles or leaves. Test that a standard user cannot list, download, search, or ask the assistant about restricted compensation and contract material. Security is complete only when it holds at the database, document, API, and AI-answer layers.
Important note: Carrier requirements, policy language, compensation arrangements, licensing rules, and state requirements can change. Use current carrier and regulatory materials, document the source reviewed, and consult appropriately licensed or qualified professionals before acting on a specific situation.
